The situation
The Washington County Chamber of Commerce in Hillsboro, Oregon was managing 400+ member businesses with a small staff. Member communications, event logistics, renewal follow-up sequences, and engagement tracking were all done manually: spreadsheets, individual emails, and calendar reminders. Staff was stretched thin, member churn was increasing, and leadership had no real-time visibility into which members were engaged and which were at risk of not renewing.
What we built
We built an AI-powered member communication system with automated engagement sequences triggered by member activity, renewal dates, and event attendance, plus a member-facing AI chatbot on the chamber's website that answers questions and captures prospective memberships around the clock. We automated event coordination workflows, from invitation sequencing to post-event follow-up, and created a unified member intelligence dashboard giving leadership a live view of engagement health across all 400+ member businesses.
